Email Templates

Below are some email templates submitted by faculty and staff as examples of what they send to advisees at various times. Clicking each link will download a Microsoft Word document to your computer.

Beginning of Term

Once advising assignments have been set for the term, many advisors find it helpful to reach out right away to set expectations with their advisees. This can encourage some students to seek advisement sooner and avoid a rush later in the term. Additionally, setting clear expectations of what types of things you can help with and how you prefer to be contacted can help clear up confusion.

Approaching Registration Time

About a week before priority registration opens is another time that advisors like to reach out to their advisees. Students may be thinking about their advising needs now more than they were at the beginning of the term. A reminder including the upcoming registration opportunities can be helpful to advisors and students alike.

End of Term

Many students don’t realize that their advisor is a faculty member with other obligations. By letting students know toward the end of the term that it’s “now or never” for advising, they may be encouraged to seek advisement before January or summer break (depending on the term). Contacting students in June is especially helpful, as continuing students who seek advisement over the summer often become frustrated by the wait times to access the limited number of available advisors.
