A few stylistic issues emerge as worthy of special attention here, especially since professors can be particularly sensitive to them. See the lessons in this section not as binding restrictions on your style, but as opportunities to understand (and in some cases, debunk) some oft-repeated rules of professional communication. In technical writing, as in chess, it is prudent to wield your creativity only within the rules.\r\n<h4>Eliminating Contractions<\/h4>\r\nContractions\u2014in which an apostrophe is used to \u201ccontract\u201d two words into one by joining parts of them\u2014are considered to be informal, conversational expression. In the formal writing that you do for your classes, or as you submit formal work for an editor\u2019s or superior\u2019s perusal, you simply do not have the option of using contractions unless you are quoting something that contains contractions. If you use contractions in formal writing you may appear sloppy and unprofessional. The safest idea is to avoid them entirely. If you avoid contractions, you will discover that your writing becomes more emphatic and leans toward the active voice, so the benefits are multiple. Remember: in technical writing, apostrophes contracting two words (e.g., \u201cit\u2019s,\u201d \u201cthey\u2019ve,\u201d \u201cwho\u2019s\u201d) signal that the two words can and should be written out separately.\r\n<h4>Curbing Feelings and Personification<\/h4>\r\nOf course scientists and engineers have feelings, but use of the word \u201cfeelings\u201d or the verb \u201cfeel\u201d in technical writing often leads the writer into trouble. Phrases such as \u201cI feel that the best answer is 3.2\u201d or \u201cwe feel that this conclusion is correct\u201d can draw large frowns from your readers. \u201cFeel\u201d has emotional connotations, and feelings are not a relevant part of rational conclusions in your writing, at least not on the page. Also, the needless use of the term can lend the appearance of uncertainty, especially when applied to quantities or conclusions as it is above.\r\n\r\nA related issue is the use of unintentional personification\u2014i.e., assigning human traits to inanimate objects\u2014in technical writing. In a phrase such as \u201cwhen the drillstring feels the weight,\u201d the seemingly literal claim that an inanimate object such as a drillstring \u201cfeels\u201d anything is clearly inaccurate. Similarly, a sentence such as \u201cBoeing stock enjoyed a 2% increase today\u201d could imply that stocks have emotions. Although such a sentence may well appear in the daily newspaper, its tone would not suit a technical paper. In technical writing, avoid unintentional personification, which is always revealed by the verb you use to express a noun\u2019s action.\r\n<h4>Choosing Gender-Neutral Language<\/h4>\r\nFrom a stylistic standpoint, one of the best things about the need for writers to choose gender-neutral language is that it forces them to explore the options that have always been available to them. Most students are aware that they should choose gender-neutral language when they write and give oral presentations, but if it just causes them to use \u201chis\/her\u201d repeatedly then they are not living up to their obligations to keep their writing highly readable and efficient. Also, writing a sentence such as \u201cSomeone should lend their voice to this problem\u201d is still grammatically unacceptable because \u201csomeone\u201d is singular and \u201ctheir\u201d is plural. Most good writers attack the problem in the following ways:\r\n<ul>\r\n \t<li>By simply being more specific or creative about word choice (writing \u201chumans\u201d rather than \u201cman\u201d).<\/li>\r\n \t<li>By using plural nouns rather than singular ones when appropriate (\u201cscientists\u201d rather than \u201ca scientist\u201d), or by avoiding gender-specific pronouns (\u201cthe author\u201d rather than \u201che\u201d).<\/li>\r\n \t<li>By writing \u201che or she\u201d (not \u201che\/she\u201d) when it is not awkward or overly repetitive to do so.<\/li>\r\n \t<li>By changing some words to other parts of speech, thereby avoiding gender-specific pronouns (\u201cwalking\u201d might work better than \u201che walked\u201d as long as the grammar of the revision is sound).<\/li>\r\n \t<li>By alternating between using \u201che\u201d and \u201cshe\u201d (as I have done in this handbook), especially in longer pieces.<\/li>\r\n<\/ul>\r\nWith these tactics in mind, consider the following example:\r\n<blockquote>The consumer himself has the power to reduce fuel costs: If he sets his residential thermostat 2 degrees higher in the summer and 2 degrees lower in the winter, he saves energy.<\/blockquote>\r\nIn a revised version of this sentence, the gender-specific language of the original is avoided:\r\n<blockquote>Consumers have the power to reduce fuel costs: By setting their residential thermostats 2 degrees higher in the summer and 2 degrees lower in the winter, they save energy.<\/blockquote>\r\nStandard English usage still calls for the masculine form (\u201che\u201d or \u201chis\u201d) to refer correctly to either gender in writing, but rely on this only when you have to. In technical writing, do not let your concern for gender-neutral language cause your usage to be too unconventional (\u201cpersonhole cover\u201d? \u201cpersonkind\u201d? \u201cs\/he\u201d?); instead, do exercise your options as a writer wisely, and remember that our language is always in flux. (Why not delight, for example, in jargon such as \u201cdebug,\u201d \u201cflame,\u201d and \u201cFUBAR\u201d?) However, many professors and employers criticize the use of jargon (sometimes called \u201cbuzzwords\u201d or \u201cgobbledygook\u201d), especially in formal writing, so you must understand how to recognize it and when it is unacceptable.\r\n\r\nThe forms of jargon range from redundancy (\u201cred in color\u201d), overly formal wordiness (using \u201cat this point in time\u201d rather than \u201ccurrently\u201d), and specialized technical slang (using \u201cairplane rule\u201d to describe the concept that greater complexity increases the likelihood of failure). Clearly, when jargon takes the form of redundancy and wordiness, simple editing is critical; when jargon becomes specialized slang, we must consider audience and context to decide on how much jargon is appropriate. A hip group of hackers might know that \u201cangry fruit salad\u201d refers to visual design that includes too many colors, but a general, educated audience would not.\r\n\r\nWhen discerning whether to use jargon, employ the following principles:\r\n<ul>\r\n \t<li>When tempted toward a wordy construction or fancy word, elect the simpler wording or word (e.g., \u201ctoday\u201d rather than \u201cin today\u2019s modern society\u201d; \u201csandy\u201d rather than \u201carenaceous\u201d).<\/li>\r\n \t<li>When you feel jargon is necessary in speaking or writing but your audience members might not understand it, explicitly define the terms you use (as I did in the previous paragraph), or define terms by creating context for them in the sentence.<\/li>\r\n \t<li>Use technical slang, but do not overuse it, in presentations, in conversation with peers, in interviews, in e-mails and memos, and in cover letters, but only when your audience is certain to understand your meaning.<\/li>\r\n<\/ul>\r\n<div style=\"background: 0% 50% #a9bcf5; margin: 20px; padding: 10px; -moz-background-clip: -moz-initial; -moz-background-origin: -moz-initial; -moz-background-inline-policy: -moz-initial;\">\r\n<h3>Self-Study<\/h3>\r\nProfessional and government organizations are just as concerned about overuse of jargon as your professors are.\u00a0 Check out these sites for tips and an action plan to reduce jargon and communicate more clearly:\r\n\r\n<a href=\"http:\/\/old.wssa.net\/WSSA\/Pubs\/HelpfulHints\/0303.pdf\" target=\"_blank\">\"Jargon in Technical Writing\" article\u00a0from the Weed Science Society of America<\/a>\r\n\r\n<a href=\"http:\/\/health.gov\/communication\/HLActionPlan\/pdf\/Health_Literacy_Action_Plan.pdf\" target=\"_blank\">\"National Action Plan to Improve Health Literacy,\" from the U.S. Department of Health and Human Services<\/a>\r\n\r\n<\/div>\r\n<h4>Destroying Dangling Modifiers<\/h4>\r\nDangling modifiers are a common occurrence in technical writing and are easily overlooked by the writer, who assumes the reader will automatically follow the sentence\u2019s meaning. Especially when you use passive voice, it is easy to create dangling modifiers\u2014that is, descriptive words that seem to \u201cdangle off by themselves\u201d because they do not accurately describe the words next to them. Most often, writers dangle modifiers at a sentence\u2019s beginning. Grammatically, a group of words preceding a sentence\u2019s main subject should directly describe the subject; otherwise, that group of words can become a dangling modifier. The following sentences contain dangling modifiers:\r\n<blockquote>Using an otoscope, her ears were examined for damage.\r\n\r\nDetermining the initial estimates, results from previous tests were used.<\/blockquote>\r\nEven though these sentences are understandable, grammatically they are unacceptable, because the first implies that the ears used the otoscope, while the second implies that the results themselves determined the initial estimates. The words that describe a sentence subject must be sensibly related to the subject, and in these two sentences that is not the case. Although here the intended meaning can be discerned with some minimal work, readers often have a hard time sorting out meaning when modifiers are dangled, especially as sentences grow longer.\r\n\r\nRevisions of these sentences to avoid dangling modifiers involve changing wording slightly and shuffling sentence parts around so that the meaning is more logical:\r\n<blockquote>Her ears were examined for damage with an otoscope.\r\n\r\nResults from previous tests were used to determine the initial estimates.<\/blockquote>\r\nParticularly when you are writing the \u201cExperimental\u201d section of a technical report, or anytime when you must use the passive voice regularly, take special care to watch out for dangling modifiers. The more frequently dangling modifiers are used, the more likely a sentence\u2019s meaning can become obtuse. I edited a technical report for a gentleman who works for a government agency and has authored over 200 papers. He was highly respectful of all my editorial suggestions, but corrected me on one. I told him that he was bucking convention by using \u201cwe\u201d throughout his report, and that the standard was to avoid using the term in technical writing, just as I had been told by others. He assured me that he had \u201cbreezily been getting away with it\u201d for 40 years, and I agreed just as breezily that he should not change his practice after such a winning record. Finally, I came away from our interaction with an important question: Was this scientist-author a maverick, or was he in fact practicing the customary?\r\n\r\nTo form an answer, I pulled 40 journals at random from one of my university\u2019s technical library\u2019s shelves. The journals ranged from the international refereed <em>European Journal of Mineralogy<\/em> to the more advertising-driven <em>Spray Technology and Marketing<\/em>. To my surprise, in 32 out of the 40 journals, the authors indeed made liberal use of \u201cI\u201d and \u201cwe\u201d (referred to grammatically as \u201cthe first person\u201d). In one case (an article in <em>Water Resources Journal<\/em>), the authors used \u201cwe\u201d in nearly every paragraph. I realized then that I had been upholding a principle that was either outmoded or at least in flux, without considering the convention in the published literature. A lesson learned.\r\n\r\nNevertheless, addressing the issue here is not as simple as saying \u201cgo ahead and use the first person freely.\u201d Here are some considered guidelines to follow:\r\n<ul>\r\n \t<li>You can use the first person in an abstract or introduction to stress the foundations of your particular approach, express authorial intentions, or emphasize your scientific convictions:<\/li>\r\n<\/ul>\r\n<blockquote>In this paper, I argue that . . .\r\n\r\nIn contrast to other authors, we conclude that . . .<\/blockquote>\r\n<ul>\r\n \t<li>When the first person does not suit you or your reader\u2019s taste, but you need to be self-referential, consider the common alternatives such as \u201cthis author,\u201d \u201cthis paper.\u201d Keep in mind, though, that these options can sound a bit stilted.<\/li>\r\n<\/ul>\r\n<ul>\r\n \t<li>In memos, especially when they involve one-on-one communication between you and one other party, use the first person (and the word \u201cyou\u201d) as needed, in particular in the introduction and conclusion.<\/li>\r\n<\/ul>\r\n<ul>\r\n \t<li>Use the first person plural (\u201cwe\u201d) when you wish to include the reader as part of a collective, thinking body:<\/li>\r\n<\/ul>\r\n<blockquote>\r\n<blockquote>\r\n<div>We can agree that something must be done about the quality of care in HMO programs.<\/div><\/blockquote>\r\n<\/blockquote>\r\n<ul>\r\n \t<li>Limit your use of the first person so that you do not create circumstances requiring you to use it repeatedly. For example, by convention, avoid using the first person in the \u201cExperimental\u201d section of a technical report\u2014if you begin to use \u201cwe\u201d in this section, you would continually have to repeat its use for consistency.<\/li>\r\n<\/ul>\r\n<ul>\r\n \t<li>Be particularly cautious with first-person terms suggesting ownership\u2014e.g., \u201cmy\u201d and \u201cour.\u201d It would be awkward to write \u201cI connected my patchcord\u201d or \u201cWe closed our tank,\u201d in that the issue of ownership is irrelevant to the science and interpretation.<\/li>\r\n<\/ul>\r\n<ul>\r\n \t<li>By convention, you may use the first person plural (\u201cwe\u201d) to introduce equations:<\/li>\r\n<\/ul>\r\n<blockquote>\r\n<blockquote>\r\n<div>We can calculate the green densities of the pellets with the equation . . .<\/div><\/blockquote>\r\n<\/blockquote>\r\nDespite what I have outlined above, recognize that some professors and editors will adamantly reject the use of first person pronouns in technical writing. Revise accordingly when needed.\r\n<h4>Using \u201cThis,\u201d \u201cIt,\u201d and Other Pronouns<\/h4>\r\nDo you want to annoy and confuse your readers? Then paste a paragraph together with \u201cthis\u201d or \u201cit\u201d as a connecting word in nearly every sentence. Moreover, do not refer to anything specific with the \u201cthis\u201d or \u201cit\u201d\u2014keep the meaning vague. (For the highly literal among you, please note that I have just employed mild sarcasm.) Without realizing it, many writers habitually plant a \u201cthis\u201d or \u201cit\u201d wherever they sense that flow is needed. However, they often create confusion by doing so. Most of the time when you use \u201cthis\u201d or \u201cit\u201d you are actually referring to a specific noun or verb that is nearby, or to an idea that has just been implied if not explicitly stated. To avoid confusion, one sound practice is to name whatever the \u201cthis\u201d refers to immediately after it (i.e., \u201cthis phenomenon,\u201d \u201cthis principle,\u201d \u201cthis variation\u201d). Note how much clearer the following sentences are because \u201cthis assumption\u201d is used rather than just \u201cthis\u201d by itself:\r\n<blockquote>The burial by thrusting is believed to occur rapidly. This assumption, however, is difficult to test.<\/blockquote>\r\nHere, \u201cthis assumption\u201d clarifies that a belief is being described rather than the burial by thrusting or its rapid occurrence.\r\n\r\nCommonly, \u201cit is\u201d is overused as a sentence beginning. \u201cIt is this water that could become . . .\u201d is better written as \u201cThis water could become . . . .\u201d When the use of \u201cit\u201d is vague or unnecessary, try to simply eliminate the word.\r\n\r\nThe same principle described above applies to pronouns such as \u201cthat\u201d and \u201cthese\u201d: Do not overuse them, and when you do be sure that the reader can easily discern the words or ideas being referred to.\r\n\r\nBecause I decided against making this manual too much of a grammar text, I have only scratched the surface here on the subject of effective pronoun usage (e.g., I have not even touched on the dreaded \u201cwho\u201d and \u201cwhom\u201d distinction). If you find that you consistently have trouble with pronouns, I recommend further study.\r\n<div style=\"background: 0% 50% #a9bcf5; margin: 20px; padding: 10px; -moz-background-clip: -moz-initial; -moz-background-origin: -moz-initial; -moz-background-inline-policy: -moz-initial;\">\r\n<h3>Self-Study<\/h3>\r\nFor more guidance on proper pronoun usage, I highly recommend these instructive websites:\r\n\r\n<a href=\"http:\/\/depts.dyc.edu\/learningcenter\/owl\/exercises\/agreement_pa_ex1.htm\" target=\"_blank\">Exercises on pronoun\/antecedent agreement from D'Youville College's Online Writing Lab<\/a>\r\n\r\n<a href=\"http:\/\/grammar.ccc.commnet.edu\/grammar\/pronouns.htm\" target=\"_blank\">Exercises on pronoun\/antecedent agreement from Capital Community College<\/a>\r\n\r\n<\/div>\r\n<h4>Writing with Infinitives\u2014to Split or not to Split?<\/h4>\r\nA split infinitive is a phrase in which one or more words are placed between the word \u201cto\u201d and its accompanying verb. \u201cTo boldly go\u201d is a split infinitive (a famous one, in fact, even to non-Trekkies) because \u201cboldly\u201d is interrupting the more basic pattern \u201cto go.\u201d Split infinitives are pet peeves of many professors (and grammar checkers too), so you must consider how you will handle this issue. Read on:\r\n\r\nThe grammatical thorn that emerges when infinitives are split essentially has to do with the concept of unit interruption. Our ears (and the \u201crules\u201d of our language) prefer that certain units not be interrupted. For instance, for many writers, \u201chave worked diligently\u201d is more acceptable than \u201chave diligently worked,\u201d in that the verb \u201chave worked\u201d is not interrupted in the first instance. (Also, work in itself cannot be \u201cdiligent,\u201d per se, and the phrasing \u201chave diligently worked\u201d could imply otherwise.) To dramatize the point further, consider the serious, especially irksome unit interruption that occurs in an incorrect phrase we have all heard: \u201ca whole nother.\u201d\r\n\r\nNow consider this sentence, which contains a split infinitive:\r\n<blockquote>The plastic contains a catalyst that causes it to completely and naturally disappear in a few months.<\/blockquote>\r\nIn this sentence, some readers would insist that \u201cto\u201d and \u201cdisappear\u201d are too far away from each other, in that their grammatical purpose here is to serve as one uninterrupted unit. A revised version of the sentence would bring together the two words in question, thus:\r\n<blockquote>The plastic contains a catalyst that causes it to disappear completely and naturally in a few months.<\/blockquote>\r\nNow, \u201ccompletely and naturally\u201d is more obviously describing the intact phrase, \u201cto disappear.\u201d As in this case, usually the words that split an infinitive can go outside the infinitive or be omitted altogether.\r\n\r\nNevertheless, split infinitives do appear in writing, and many writers (including me) find them acceptable as long as they are infrequent and that they do not disturb either sense or sound. At times, in fact, split infinitives are the most logical, euphonious choice:\r\n<blockquote>After the mishap, he was encouraged to never report to work again.\r\n\r\nIt is comforting to finally understand differential equations.<\/blockquote>\r\nThe bottom line: If you split infinitives, do so infrequently, and understand that some of your professors might view them as unacceptable or sloppy style.\r\n<h4>Ending Sentences with Prepositions<\/h4>\r\nPrepositions\u2014small connecting words such as at, about, to, under\u2014are used to clarify relationships between other words, especially between verbs and the receivers of the verb\u2019s action. We have all heard admonishments against ending sentences with prepositions, but such a rule never really existed\u2014as with the principle of not splitting infinitives, it was mostly passed down by grammarians who were attempting to make written English conform to the rules of Latin. Even the purist grammar handbook that I began using in the 1980s, Martha Kolln\u2019s <a href=\"http:\/\/www.amazon.com\/Handbook-Rhetoric-Language-Composition\/dp\/0023658606\/ref=sr_1_2?ie=UTF8&amp;s=books&amp;qid=1219757543&amp;sr=8-2\" target=\"_blank\"><em>Language and Composition<\/em><\/a>, calls the notion that sentences may not end with prepositions an \u201cabsurd warning.\u201d\r\n\r\nOf course, as a matter of style, ending a sentence with a preposition can give undue stress to the preposition, leaving the reader with the feeling that the sentence has ended weakly (e.g., \u201cHe wasn\u2019t sure which sample to look at.\u201d). Therefore, if a sentence ending with a proposition sounds weak to you, revise it by moving or eliminating the preposition, but do not defy meaning or the natural word order.\r\n\r\nAnd for those who would argue with you over this issue and insist on the \u201crule,\u201d point out to them that it is sometimes just darned inconvenient and illogical not to end a perfectly understandable and strong sentence with a preposition. You can even cite two authorities on language: William and Winston. Shakespeare\u2019s <em>Henry V <\/em>includes the line, \u201cWho servest thou under?\u201d And the always quotable Winston Churchill, to demonstrate the inconvenience when the so-called rule is followed, is reported to have put his feelings on the matter thus:\r\n<blockquote>This is the sort of English up with which I will not put.<\/blockquote>\r\nSo there.<a href=\"https:\/\/s3-us-west-2.amazonaws.com\/courses-images\/wp-content\/uploads\/sites\/192\/2016\/05\/31225958\/smiley-smile.gif\"><img class=\"alignnone wp-image-434 size-full\" src=\"https:\/\/s3-us-west-2.amazonaws.com\/courses-images\/wp-content\/uploads\/sites\/192\/2016\/05\/31225958\/smiley-smile.gif\" alt=\"smiley face\" width=\"18\" height=\"18\" \/><\/a>\r\n\r\n<\/div>\r\n<div class=\"clear-block\"><\/div>\r\n<\/div>","rendered":"<div id=\"node-1858\" class=\"node\">\n<div class=\"content clear-block\">\n<p>To become an effective technical stylist, you must understand some of the key governing conventions. Remember: in technical writing, apostrophes contracting two words (e.g., \u201cit\u2019s,\u201d \u201cthey\u2019ve,\u201d \u201cwho\u2019s\u201d) signal that the two words can and should be written out separately.<\/p>\n<h4>Curbing Feelings and Personification<\/h4>\n<p>Of course scientists and engineers have feelings, but use of the word \u201cfeelings\u201d or the verb \u201cfeel\u201d in technical writing often leads the writer into trouble. Phrases such as \u201cI feel that the best answer is 3.2\u201d or \u201cwe feel that this conclusion is correct\u201d can draw large frowns from your readers. \u201cFeel\u201d has emotional connotations, and feelings are not a relevant part of rational conclusions in your writing, at least not on the page. Also, the needless use of the term can lend the appearance of uncertainty, especially when applied to quantities or conclusions as it is above.<\/p>\n<p>A related issue is the use of unintentional personification\u2014i.e., assigning human traits to inanimate objects\u2014in technical writing. In a phrase such as \u201cwhen the drillstring feels the weight,\u201d the seemingly literal claim that an inanimate object such as a drillstring \u201cfeels\u201d anything is clearly inaccurate. Similarly, a sentence such as \u201cBoeing stock enjoyed a 2% increase today\u201d could imply that stocks have emotions. Although such a sentence may well appear in the daily newspaper, its tone would not suit a technical paper. In technical writing, avoid unintentional personification, which is always revealed by the verb you use to express a noun\u2019s action.<\/p>\n<h4>Choosing Gender-Neutral Language<\/h4>\n<p>From a stylistic standpoint, one of the best things about the need for writers to choose gender-neutral language is that it forces them to explore the options that have always been available to them. Most students are aware that they should choose gender-neutral language when they write and give oral presentations, but if it just causes them to use \u201chis\/her\u201d repeatedly then they are not living up to their obligations to keep their writing highly readable and efficient. Also, writing a sentence such as \u201cSomeone should lend their voice to this problem\u201d is still grammatically unacceptable because \u201csomeone\u201d is singular and \u201ctheir\u201d is plural. Most good writers attack the problem in the following ways:<\/p>\n<ul>\n<li>By simply being more specific or creative about word choice (writing \u201chumans\u201d rather than \u201cman\u201d).<\/li>\n<li>By using plural nouns rather than singular ones when appropriate (\u201cscientists\u201d rather than \u201ca scientist\u201d), or by avoiding gender-specific pronouns (\u201cthe author\u201d rather than \u201che\u201d).<\/li>\n<li>By writing \u201che or she\u201d (not \u201che\/she\u201d) when it is not awkward or overly repetitive to do so.<\/li>\n<li>By changing some words to other parts of speech, thereby avoiding gender-specific pronouns (\u201cwalking\u201d might work better than \u201che walked\u201d as long as the grammar of the revision is sound).<\/li>\n<li>By alternating between using \u201che\u201d and \u201cshe\u201d (as I have done in this handbook), especially in longer pieces.<\/li>\n<\/ul>\n<p>With these tactics in mind, consider the following example:<\/p>\n<blockquote><p>The consumer himself has the power to reduce fuel costs: If he sets his residential thermostat 2 degrees higher in the summer and 2 degrees lower in the winter, he saves energy.<\/p><\/blockquote>\n<p>In a revised version of this sentence, the gender-specific language of the original is avoided:<\/p>\n<blockquote><p>Consumers have the power to reduce fuel costs: By setting their residential thermostats 2 degrees higher in the summer and 2 degrees lower in the winter, they save energy.<\/p><\/blockquote>\n<p>Standard English usage still calls for the masculine form (\u201che\u201d or \u201chis\u201d) to refer correctly to either gender in writing, but rely on this only when you have to. In technical writing, do not let your concern for gender-neutral language cause your usage to be too unconventional (\u201cpersonhole cover\u201d? \u201cpersonkind\u201d? \u201cs\/he\u201d?); instead, do exercise your options as a writer wisely, and remember that our language is always in flux. (Why not delight, for example, in jargon such as \u201cdebug,\u201d \u201cflame,\u201d and \u201cFUBAR\u201d?) However, many professors and employers criticize the use of jargon (sometimes called \u201cbuzzwords\u201d or \u201cgobbledygook\u201d), especially in formal writing, so you must understand how to recognize it and when it is unacceptable.<\/p>\n<p>The forms of jargon range from redundancy (\u201cred in color\u201d), overly formal wordiness (using \u201cat this point in time\u201d rather than \u201ccurrently\u201d), and specialized technical slang (using \u201cairplane rule\u201d to describe the concept that greater complexity increases the likelihood of failure). Clearly, when jargon takes the form of redundancy and wordiness, simple editing is critical; when jargon becomes specialized slang, we must consider audience and context to decide on how much jargon is appropriate. Especially when you use passive voice, it is easy to create dangling modifiers\u2014that is, descriptive words that seem to \u201cdangle off by themselves\u201d because they do not accurately describe the words next to them. Most often, writers dangle modifiers at a sentence\u2019s beginning. Grammatically, a group of words preceding a sentence\u2019s main subject should directly describe the subject; otherwise, that group of words can become a dangling modifier. The following sentences contain dangling modifiers:<\/p>\n<blockquote><p>Using an otoscope, her ears were examined for damage.<\/p>\n<p>Determining the initial estimates, results from previous tests were used.<\/p><\/blockquote>\n<p>Even though these sentences are understandable, grammatically they are unacceptable, because the first implies that the ears used the otoscope, while the second implies that the results themselves determined the initial estimates. The words that describe a sentence subject must be sensibly related to the subject, and in these two sentences that is not the case. Although here the intended meaning can be discerned with some minimal work, readers often have a hard time sorting out meaning when modifiers are dangled, especially as sentences grow longer.<\/p>\n<p>Revisions of these sentences to avoid dangling modifiers involve changing wording slightly and shuffling sentence parts around so that the meaning is more logical:<\/p>\n<blockquote><p>Her ears were examined for damage with an otoscope.<\/p>\n<p>Results from previous tests were used to determine the initial estimates.<\/p><\/blockquote>\n<p>Particularly when you are writing the \u201cExperimental\u201d section of a technical report, or anytime when you must use the passive voice regularly, take special care to watch out for dangling modifiers. The more frequently dangling modifiers are used, the more likely a sentence\u2019s meaning can become obtuse. I edited a technical report for a gentleman who works for a government agency and has authored over 200 papers. He was highly respectful of all my editorial suggestions, but corrected me on one. I told him that he was bucking convention by using \u201cwe\u201d throughout his report, and that the standard was to avoid using the term in technical writing, just as I had been told by others. He assured me that he had \u201cbreezily been getting away with it\u201d for 40 years, and I agreed just as breezily that he should not change his practice after such a winning record. Finally, I came away from our interaction with an important question: Was this scientist-author a maverick, or was he in fact practicing the customary?<\/p>\n<p>To form an answer, I pulled 40 journals at random from one of my university\u2019s technical library\u2019s shelves. The journals ranged from the international refereed <em>European Journal of Mineralogy<\/em> to the more advertising-driven <em>Spray Technology and Marketing<\/em>. To my surprise, in 32 out of the 40 journals, the authors indeed made liberal use of \u201cI\u201d and \u201cwe\u201d (referred to grammatically as \u201cthe first person\u201d). In one case (an article in <em>Water Resources Journal<\/em>), the authors used \u201cwe\u201d in nearly every paragraph. I realized then that I had been upholding a principle that was either outmoded or at least in flux, without considering the convention in the published literature. A lesson learned.<\/p>\n<p>Nevertheless, addressing the issue here is not as simple as saying \u201cgo ahead and use the first person freely.\u201d Here are some considered guidelines to follow:<\/p>\n<ul>\n<li>You can use the first person in an abstract or introduction to stress the foundations of your particular approach, express authorial intentions, or emphasize your scientific convictions:<\/li>\n<\/ul>\n<blockquote><p>In this paper, I argue that . . .<\/p>\n<p>In contrast to other authors, we conclude that . . .<\/p><\/blockquote>\n<ul>\n<li>When the first person does not suit you or your reader\u2019s taste, but you need to be self-referential, consider the common alternatives such as \u201cthis author,\u201d \u201cthis paper.\u201d Keep in mind, though, that these options can sound a bit stilted.<\/li>\n<\/ul>\n<ul>\n<li>In memos, especially when they involve one-on-one communication between you and one other party, use the first person (and the word \u201cyou\u201d) as needed, in particular in the introduction and conclusion.<\/li>\n<\/ul>\n<ul>\n<li>Use the first person plural (\u201cwe\u201d) when you wish to include the reader as part of a collective, thinking body:<\/li>\n<\/ul>\n<blockquote>\n<blockquote>\n<div>We can agree that something must be done about the quality of care in HMO programs.<\/div>\n<\/blockquote>\n<\/blockquote>\n<ul>\n<li>Limit your use of the first person so that you do not create circumstances requiring you to use it repeatedly. For example, by convention, avoid using the first person in the \u201cExperimental\u201d section of a technical report\u2014if you begin to use \u201cwe\u201d in this section, you would continually have to repeat its use for consistency.<\/li>\n<\/ul>\n<ul>\n<li>Be particularly cautious with first-person terms suggesting ownership\u2014e.g., \u201cmy\u201d and \u201cour.\u201d It would be awkward to write \u201cI connected my patchcord\u201d or \u201cWe closed our tank,\u201d in that the issue of ownership is irrelevant to the science and interpretation.<\/li>\n<\/ul>\n<ul>\n<li>By convention, you may use the first person plural (\u201cwe\u201d) to introduce equations:<\/li>\n<\/ul>\n<blockquote>\n<blockquote>\n<div>We can calculate the green densities of the pellets with the equation . . .<\/div>\n<\/blockquote>\n<\/blockquote>\n<p>Despite what I have outlined above, recognize that some professors and editors will adamantly reject the use of first person pronouns in technical writing. Revise accordingly when needed.<\/p>\n<h4>Using \u201cThis,\u201d \u201cIt,\u201d and Other Pronouns<\/h4>\n<p>Do you want to annoy and confuse your readers? Then paste a paragraph together with \u201cthis\u201d or \u201cit\u201d as a connecting word in nearly every sentence. Moreover, do not refer to anything specific with the \u201cthis\u201d or \u201cit\u201d\u2014keep the meaning vague. (For the highly literal among you, please note that I have just employed mild sarcasm.) Without realizing it, many writers habitually plant a \u201cthis\u201d or \u201cit\u201d wherever they sense that flow is needed. However, they often create confusion by doing so. Most of the time when you use \u201cthis\u201d or \u201cit\u201d you are actually referring to a specific noun or verb that is nearby, or to an idea that has just been implied if not explicitly stated. To avoid confusion, one sound practice is to name whatever the \u201cthis\u201d refers to immediately after it (i.e., \u201cthis phenomenon,\u201d \u201cthis principle,\u201d \u201cthis variation\u201d). Note how much clearer the following sentences are because \u201cthis assumption\u201d is used rather than just \u201cthis\u201d by itself:<\/p>\n<blockquote><p>The burial by thrusting is believed to occur rapidly. This assumption, however, is difficult to test.<\/p><\/blockquote>\n<p>Here, \u201cthis assumption\u201d clarifies that a belief is being described rather than the burial by thrusting or its rapid occurrence.<\/p>\n<p>Commonly, \u201cit is\u201d is overused as a sentence beginning. \u201cIt is this water that could become . . .\u201d is better written as \u201cThis water could become . . . .\u201d When the use of \u201cit\u201d is vague or unnecessary, try to simply eliminate the word.<\/p>\n<p>The same principle described above applies to pronouns such as \u201cthat\u201d and \u201cthese\u201d: Do not overuse them, and when you do be sure that the reader can easily discern the words or ideas being referred to.<\/p>\n<p>Because I decided against making this manual too much of a grammar text, I have only scratched the surface here on the subject of effective pronoun usage (e.g., I have not even touched on the dreaded \u201cwho\u201d and \u201cwhom\u201d distinction). Read on:<\/p>\n<p>The grammatical thorn that emerges when infinitives are split essentially has to do with the concept of unit interruption. Our ears (and the \u201crules\u201d of our language) prefer that certain units not be interrupted. For instance, for many writers, \u201chave worked diligently\u201d is more acceptable than \u201chave diligently worked,\u201d in that the verb \u201chave worked\u201d is not interrupted in the first instance. (Also, work in itself cannot be \u201cdiligent,\u201d per se, and the phrasing \u201chave diligently worked\u201d could imply otherwise.) To dramatize the point further, consider the serious, especially irksome unit interruption that occurs in an incorrect phrase we have all heard: \u201ca whole nother.\u201d<\/p>\n<p>Now consider this sentence, which contains a split infinitive:<\/p>\n<blockquote><p>The plastic contains a catalyst that causes it to completely and naturally disappear in a few months.<\/p><\/blockquote>\n<p>In this sentence, some readers would insist that \u201cto\u201d and \u201cdisappear\u201d are too far away from each other, in that their grammatical purpose here is to serve as one uninterrupted unit. A revised version of the sentence would bring together the two words in question, thus:<\/p>\n<blockquote><p>The plastic contains a catalyst that causes it to disappear completely and naturally in a few months.<\/p><\/blockquote>\n<p>Now, \u201ccompletely and naturally\u201d is more obviously describing the intact phrase, \u201cto disappear.\u201d As in this case, usually the words that split an infinitive can go outside the infinitive or be omitted altogether.<\/p>\n<p>Nevertheless, split infinitives do appear in writing, and many writers (including me) find them acceptable as long as they are infrequent and that they do not disturb either sense or sound. At times, in fact, split infinitives are the most logical, euphonious choice:<\/p>\n<blockquote><p>After the mishap, he was encouraged to never report to work again.<\/p>\n<p>It is comforting to finally understand differential equations.<\/p><\/blockquote>\n<p>The bottom line: If you split infinitives, do so infrequently, and understand that some of your professors might view them as unacceptable or sloppy style.<\/p>\n<h4>Ending Sentences with Prepositions<\/h4>\n<p>Prepositions\u2014small connecting words such as at, about, to, under\u2014are used to clarify relationships between other words, especially between verbs and the receivers of the verb\u2019s action. We have all heard admonishments against ending sentences with prepositions, but such a rule never really existed\u2014as with the principle of not splitting infinitives, it was mostly passed down by grammarians who were attempting to make written English conform to the rules of Latin. Even the purist grammar handbook that I began using in the 1980s, Martha Kolln\u2019s <a href=\"http:\/\/www.amazon.com\/Handbook-Rhetoric-Language-Composition\/dp\/0023658606\/ref=sr_1_2?ie=UTF8&amp;s=books&amp;qid=1219757543&amp;sr=8-2\" target=\"_blank\"><em>Language and Composition<\/em><\/a>, calls the notion that sentences may not end with prepositions an \u201cabsurd warning.\u201d<\/p>\n<p>Of course, as a matter of style, ending a sentence with a preposition can give undue stress to the preposition, leaving the reader with the feeling that the sentence has ended weakly (e.g., \u201cHe wasn\u2019t sure which sample to look at.\u201d). Therefore, if a sentence ending with a proposition sounds weak to you, revise it by moving or eliminating the preposition, but do not defy meaning or the natural word order.<\/p>\n<p>And for those who would argue with you over this issue and insist on the \u201crule,\u201d point out to them that it is sometimes just darned inconvenient and illogical not to end a perfectly understandable and strong sentence with a preposition. You can even cite two authorities on language: William and Winston.
